Conference Room AV Planning Checklist

The decisions that have to happen before drywall, before furniture ships, and before hardware arrives — in the order they come up.

Why conference rooms need planning, not just equipment

A conference room sits at the intersection of construction, furniture, AV, and IT, and each of those has a deadline the others don't see. Display blocking has to be in the wall before drywall closes. The table core has to be specified before furniture is manufactured. The resource account and license have to exist before commissioning. Miss any one and the room either opens late or opens compromised.

Room depth and table length matter more than head count. A narrow twelve-person room is easier than a deep eight-person one.

Before drywall closes

These are the decisions that become expensive the moment the wall is finished. None of them are hard if they happen on time, and all of them are costly retrofits if they don't.

  • Display size and height, so mount blocking goes in the right place
  • Blocking rated for the display and mount weight, including articulating arms
  • Power at the display location and at the equipment location
  • Data drops for the room system and any secondary devices
  • Conduit or pathway from the table location to the display wall
  • Ceiling microphone locations if the room needs them

Before furniture is ordered

Table connectivity is the item most often missed, because the AV scope and the furniture order are usually handled by different people at different times. Once a table is manufactured without a core, the options get ugly.

  • Table core or grommet location and size
  • Connectivity box model and what it needs to carry — HDMI, USB-C, power, data
  • Cable route from the table core to the equipment location
  • Floor box or poke-through location if the table is not against a wall
  • Whether wireless presentation replaces or supplements the cable

Get the audio right, because that's what gets judged

People rarely complain that the picture was slightly soft. They complain constantly that the far end couldn't hear them. Audio is the most underbuilt part of most rooms: a single bar microphone in a long room with glass walls and a hard ceiling will not cover the far seats, and HVAC noise is usually louder than anyone accounts for.

  • Match microphone type and count to table length, not head count
  • Glass, hard ceilings, and bare walls all need more microphone coverage
  • Check HVAC noise during the walkthrough, at the time of day rooms get used
  • Place speakers so the far end is intelligible at every seat
  • Test from the worst seat in the room, not from the head of the table

What IT has to deliver

On a platform room — Microsoft Teams, Zoom, or Google Meet — the physical install can be finished and the room still won't work without a few items from whoever owns the tenant. Getting this list out early is the difference between commissioning on schedule and a crew standing in a finished room waiting on a license.

  • A resource account for the room with the correct license assigned
  • A wired network drop, plus any firewall or QoS requirements
  • Room naming that matches the client's convention so it's bookable
  • Someone available at commissioning to sign the room in
  • A decision on who administers and monitors the room afterward

Commissioning and handoff

A room that technically works but that nobody knows how to start is a room people avoid booking. Commissioning means verifying the room end to end — camera framing, microphone pickup from every seat, presenting from a guest laptop, joining a real meeting — then showing staff how to use it in about five minutes.

The mistakes that repeat

  • Camera mounted too far from the table to frame anyone recognizably
  • No table connectivity, so a guest with a laptop can't present
  • Display too small for the room's depth to read shared content

What's the most common conference room mistake?
Underbuilt audio. A single integrated microphone that's fine in a huddle room cannot cover a long conference table, especially in rooms with glass walls and hard ceilings. It's the failure people complain about most and the one most often value-engineered out.
How big should the display be?
